Zoom has published a blog post with several recommendations. The instructions below were created on the Zoom desktop app for MacOS. Other platforms and devices will vary slightly.

To reduce disruption to your Zoom sessions from those who are not the intended invitees, MIT strongly recommends the following guidelines for all MIT Zoom meeting hosts:. MIT does not recommend allowing attendees to join any Zoom session without requiring either a passcode or Touchstone authentication.

There are two ways to prevent participants from using the Chat feature in the meeting. You can remove unwanted participants from your Zoom meeting. Note: it is possible for unwanted people to return unless you lock the meeting. These names are displayed in the participant panel and on the video thumbnails. By default, participants can opt to change their name in the Zoom meeting, and the host can choose to rename participants too.

There are two ways to prevent participants from renaming themselves. By default, when “Screen sharing” is turned on, “Host Only” is turned on automatically.

To disable sharing from everyone, including yourself, toggle off “Screen sharing. If a participant attempts to share something, they’ll receive a notification that says only the host can screen share or that screen sharing is completely disabled in the meeting. The virtual background feature is fun because it allows you to display an image or video video option is desktop only as your background in place of your usual background, whether it’s a coffee shop, your home office, or your bedroom.

If you’re worried about someone going on a racist rant or messaging unsavory comments to other attendees during your meeting, you can get rid of chat completely. To disable it, toggle off the “Chat” option which will also disable the “Private Chat” option in the web settings.

Usually, a participant can tap on “More” during a meeting and then on “Chat” to send a message to everyone or privately to a single person. When chat is disabled, the option disappears from the menu entirely. Give anyone an opportunity and they’ll change their name to something funny, rude, or distracting while on a call, which is why you shouldn’t allow meeting participants and webinar panelists to rename themselves.

To stop people from renaming themselves, toggle off the “Allow participants to rename themselves” in the web settings.
